Client Privacy Statement and Policy

In order to serve you best, I (Gwen Bristol/Joyful Phoenix Coaching and Consulting) am providing you with information about the data I request, so that you know I’m dedicated to protecting your best interests.

Privacy Statement

What data do I keep, and why do I need it?

Name, birthdate, and age – this basic information helps me get to know you, build rapport, and provide you with the best sessions and extended service possible.

Phone number, email address, and address – I use this as a way to contact you regarding our sessions, and occasionally, to send you individually curated, supportive materials that I feel could be of use or of interest to you. I will mainly use the method you used to contact me first, but I will use another method if I can’t get in touch with you that way.

Next of kin/medical professional’s details – If I am ever worried about you, I may need to contact your next of kin or medical professional. If I can, I will let you know if/when I am going to do this.

Session notes – I keep brief notes of our sessions, in order to help me provide the best sessions for you, and, in the event that we have further sessions together, to review prior to those further sessions. These are kept in private files, and only I have access to them.

Bespoke recordings – I keep a copy of your personalized recording, created during/for RTT sessions, for up to three weeks for individualized sessions, and up to three months for package sessions. These are only kept in the event that you accidentally lose or delete your copy and would like it replaced during that time. All recordings are kept private solely on Joyful Phoenix hardware for the duration of the time that they are kept.

Privacy Policy

Will I share your data and if I do, who will I share it with and for what purpose?

It is very unlikely that I will share your data. I will not sell it on or use it for unethical reasons. I may have to share it if my notes are subpoenaed by court, if you or anyone you tell me about is at harm or risk of harm I may have to pass this information on. I may also discuss your case during supervision but I only use your first name.

How will I store your data?

It is mainly stored as hard copy in a locked filing cabinet. Immediately after the work is finished, I transfer the data with your initials to my password protected computer. Your phone number(s) may be kept in my business mobile phone with your first name and last initial. Only I will access your information.

How long will I store your data for and how will I dispose of it?

I will keep your details and session notes for the time required by my insurer (currently 7 years).

After this time I will destroy any document with your personal information and delete your phone number out of my mobile phone.

Bespoke recordings are kept on a password-protected computer for up to three months, in order to provide a back-up copy to the client. After that time, recordings are deleted.
